Ease commerce Privacy Statement

This privacy statement is effective as of Nov 10, 2023. Please note that this privacy statement will regularly be updated to reflect any changes in the way we handle your personal data or any changes in applicable laws.

Unless stated otherwise, this privacy statement applies to all of Ease Commerce’s externally facing applications, services, tools, websites and other data processing activities where Ease Commerce is acting as a data controller (or any local equivalent).

Below, we first give a general description of how Ease Commerce protects your personal data. Further below, we also include specific information on the following:

  2. How do we use personal data when you visit our offices?

1. How do we collect personal data?

Ease Commerce attaches great importance to your right to privacy and the protection of your personal data. We want you to feel secure that when you deal with Ease Commerce, your personal data are in good hands.

You directly provide Ease Commerce with most of the data we collect. Ease Commerce collects Personal Data from you when you:

  • subscribe to any of Ease Commerce’s Service(s) by signing up;
  • use or view Ease Commerce’s Website which may result in Personal Data being collected via your browser’s Cookies;
  • submit web forms on our Website(s) or as you use interactive features of the Website(s), including participation in surveys, contests, promotions, sweepstakes,
  • request customer support, or otherwise communicate with us; or
  • when you use the Service(s), Ease Commerce automatically collects information on the type of device you use, and the operating system version, to perform our agreement with you.

B.

Ease Commerce may also receive your Personal Data indirectly as follows:

  • from third-party sources like databases, e-commerce marketplace and social media but only where we have checked that these third parties either have your consent or are otherwise legally permitted or required to disclose your personal information to us;
  • if you authorize Ease Commerce to connect with a third-party service, Ease Commerce will access and store your name, email address(es), current city, profile picture URL, and other Personal Data that the third-party service makes available to Ease Commerce, and use and disclose it in accordance with this Policy.

Ease Commerce protects your personal data in accordance with applicable laws and our data privacy policies. In addition, Ease Commerce maintains the appropriate technical and organizational measures to protect your personal data against unauthorized or unlawful processing and/or against accidental loss, alteration, disclosure or access, or accidental or unlawful destruction of or damage thereto.

Which categories of personal data do we collect and how do we process such personal data?

We collect personal data of our clients and their customer/former/directors. If the data we collect are not listed in this privacy statement, we will give individuals (when required by law) appropriate notice of which other data will be collected and how they will be used.

While collects the customer’s related data from e-commerce channels or client own portals, the customer PII information like customer name, phone number, email I’d, address, social media details etc

We might receive information about customer PII from other sources, such as updated delivery and address information from our carriers, which we use to correct our records and deliver to customer next purchase more easily.

b.

For which purposes and on which legal basis do we use your personal data?

We use your personal information to operate, provide, develop, and improve the products and services that we offer our customers. These purposes include:

Purchase and delivery of products and services. We use your personal information to take and fulfill orders, deliver products and services, process payments, reconciliation, and communicate with you about orders tracking updates wherever requires.

Comply with legal obligations. In certain cases, we collect and use your personal information to comply with laws. For instance, we collect from customer information for GST return, Invoice and e-invoicing purpose etc.

Reporting Analysis. In certain cases, we collect and use your personal information to analysis of sales report, geographical sales analysis etc.

Fraud Prevention and Credit Risks. We use personal information to prevent and detect fraud and abuse in order to protect the security of our customers and others. We may also use scoring methods to assess and manage credit risks.

Customer relation Management. Like most companies, Ease Commerce uses customer relationship management (CRM) database technology to manage and track our marketing efforts. Our CRM databases include personal data belonging to individuals at our client and other companies with whom we already have a business relationship or want to develop one. The personal data used for these purposes includes relevant business information, such as: contact data, publicly available information (e.g. board membership, published articles, press releases, your public posts on social media sites if relevant for business purpose), your responses to targeted e-mail (including web activity following links from our e-mails), website activity of registered users of our website, and other business information included by Ease Commerce professionals based on their personal interactions with you.

Will we share your personal data with third parties?

Information about our customers is an important part of our business and we are not in the business of selling our customers’ personal information to others. We share customers’ personal information only as described below. controls that either are subject to this Privacy Notice or follow practices at least as protective as those described in this Privacy Notice.

Transactions involving Third Parties: We make available to you services, products, applications, or skills provided by third parties for use on or through Ease Commerce Services. For example, the order placed by customer on any e- commerce marketplaces or client’s own website, we will share the information related to shipping partners only those order information which shipped to them like customer name, contact details, email I’d address and order related information, to deliver order to customer. You can tell when a third party is involved in your transactions, and we share customers’ personal information related to those transactions with that third party.

Third-Party Service Providers:We employ other companies and individuals to perform functions on our behalf. Examples include fulfilling orders for products or services, delivering packages, removing repetitive information from customer lists, analyzing data, providing marketing assistance, providing search results and links (including paid listings and links), processing payments, transmitting content, scoring, assessing and managing credit risk, and providing customer service. These third-party service providers have access to personal information needed to perform their functions, but may not use it for other purposes. Further, they must process the personal information in accordance with applicable law.

Business Transfers: As we continue to develop our business, we might sell or buy other businesses or services. In such transactions, customer information generally is one of the transferred business assets but remains subject to the promises made in any pre-existing Privacy Notice (unless, of course, the customer consents otherwise).

Protection of Ease Commerce and Others: We release account and other personal information when we believe release is appropriate to comply with the law; enforce or apply our Conditions of Use and other agreements; or protect the rights, property, or safety of Ease Commerce, our users, or others.

Other than as set out above, you will receive notice when personal information about you might be shared with third parties, and you will have an opportunity to choose not to share the information.

What about sensitive data?

We do not generally seek to collect sensitive data as defined in the second paragraph below (also known as special categories within the EEA) through this site or otherwise. In the limited cases where we do seek to collect such data, we will do this in accordance with data privacy law requirements and/or ask for your consent.

The term "sensitive data" refers to the various categories of personal data identified by data privacy laws as requiring special treatment, including in some circumstances the need to obtain explicit consent from you. These categories include racial or ethnic origin, political opinions, religious, philosophical or other similar beliefs, membership of a trade union, physical or mental health, biometric or genetic data, sexual life or orientation, or criminal convictions and offences (including information about suspected criminal activities).

What about data security

We maintain organizational, physical and technical security arrangements for all the personal data we hold. We have protocols, controls and relevant policies, procedures and guidance to maintain these arrangements taking into account the risks associated with the categories of personal data and the processing we undertake.

We adopt market leading security measures to protect your personal data. This includes (without being limitative):

  • We hold an ISO27001 certification, which indicates that we adhere to the highest and strictest information security standards. This is a security standard awarded by the British Standards Institution (“BSI”) that serves as international certification that Ease commerce adheres to the highest and strictest standards. This certification is the only auditable international standard that defines the requirements for an Information Security Management System (“ISMS”) and confirms that Ease Commerce’s processes and security controls provide an effective framework for protecting our clients’ and our own information.
  • We have regular penetration testing performed by a third party provider, which continues to show the strength of our technical defenses.

f.

How long will your personal data be retained by us?

We will retain your personal data only for as long as is necessary. We maintain specific records management and retention policies and procedures, so that personal data are deleted after a reasonable time according to the following retention criteria:

  • We retain your data as long as we have an ongoing relationship with you (in particular, if you have an account with us).
  • We will only keep the data while your account is active or for as long as needed to provide services to you.
  • We retain your data for as long as needed in order to comply with legal and contractual obligations.

Which rights do you have with respect to the processing of your personal data

You are entitled (in the circumstances and under the conditions, and subject to the exceptions, set out in applicable law) to:

  • Request access to the personal data we process about you: this right entitles you to know whether we hold personal data about you and, if we do, to obtain information on and a copy of that personal data.
  • Request a rectification of your personal data: this right entitles you to have your personal data be corrected if it is inaccurate or incomplete.
  • Object to the processing of your personal data: this right entitles you to request that Ease Commerce no longer processes your personal data.
  • Request the erasure of your personal data: this right entitles you to request the erasure of your personal data, including where such personal data would no longer be necessary to achieve the purposes.
  • Request the restriction of the processing of your personal data: this right entitles you to request that Ease Commerce only processes your personal data in limited circumstances, including with your consent.
  • Request portability of your personal data: this right entitles you to receive a copy (in a structured, commonly used and machine-readable format) of personal data that you have provided to Accenture, or request Accenture to transmit such personal data to another data controller.

2. How do we use personal data when you visit our offices?

When you visit our offices, we process your personal data in accordance with this privacy statement and some specific information regarding the use of visitor data and the potential use of CCTV in our offices is provided in the reception area.

3. How do we amendment and updations in this policy ?

  • Ease Commerce keeps this Policy under regular review and may update at any time. This Policy may be amended at any time and you shall be notified only if there are material changes to this Policy.
